# Portal List Filters & Date Ranges

> What you can filter and search on each Merchant Portal list, how far back each list looks by default, which pickers refuse a range longer than a month, how to cover a whole year, and why a button or a file name on a list is not clickable.

Every Portal list screen has its own filter set, its own default date window, and in some cases a
hard limit on how wide a range you may select. This page is the per-screen reference. For *why an
element is absent altogether*, see
[Missing Columns, Filters & Views](/docs/en/support/portal-conditional-screens-faq). For what happens
after you press Export, see [Export Centre](/docs/en/support/export-center-faq).

## Which filters does the payment list give me?

| Filter | What it does |
| - | - |
| Search box | One identifier at a time — see the next question |
| `Sub Merchant Id` | Only rendered if your account operates sub-merchants |
| `Currency` | Order currency, from the currencies your account has actually used |
| `Payment Method Country` | The country the payment method belongs to |
| `Payment Method Type` | The **category** — card, wallet, bank transfer and so on |
| `Payment Method` | The **individual method**, presented as a two-level picker under its category |
| `Status` | Order status |
| `Card Transaction Type` | `CIT` or `MIT` — see below |
| `Created Datetime` | Range picker, capped at one month (see the date table) |

`Payment Method Type` and `Payment Method` are the two levels of the same tree, not alternatives:
the type is the parent category, the method is the leaf. Filtering on the type gives you every
method in that category; filtering on the method narrows to one. You can set both, and the method
selection is what the list is finally narrowed by.

## What can I type into the search box, and does it accept my own order number?

The box is one dropdown plus one input, so it searches **one identifier at a time**. Yes, your own
order number is one of the options — that is `Merchant Order Id`. The option set differs per list:

| List | Searchable by |
| - | - |
| Payments | `Order Id`, `Merchant Order Id`, `Payment Request Id`, `Merchant User Id`, `Card Last 4 Digits`, `Subscription Id` |
| Refunds | `Order Id` (the refund), `Original Order Id`, `Merchant Order Id`, `Merchant Original Order Id`, `Payment Request Id`, `Card Last 4 Digits`, `Subscription Id` |
| Chargebacks / disputes | `Original Order Id`, `Dispute Id`, `Subscription Id`, `Merchant User Id` |
| Subscription agreements | `Subscription Id`, `User Id`, `User Email`, `Card Last 4 Digits`, `Order Id` |
| Payout (single) | `Payout Order Id`, `Payout Request Id` |
| Payout (batch) | `Payout Batch Id`, `Batch Name` |
| Settlement transactions | `Order Id`, `Merchant Order Id`, `Payment Request Id`, `Merchant User Id`, `Sub Mid` |

Two behaviours to know:

* **Switching the dropdown clears what you typed.** The identifier formats are different, so the
input is reset rather than carried over.
* **`Card Last 4 Digits` accepts digits only and exactly four of them.** Anything shorter returns an
empty result rather than a partial match, so an incomplete entry looks like "no data" instead of
  an error.

There is no free-text search that guesses which identifier you pasted, and no search across
consumer name or email on the payment list — the customer-side identifiers you can search are the
`Merchant User Id` you sent us and the card's last four digits.

## What is `Card Transaction Type` for?

It splits card traffic by who initiated the charge:

| Value | Means |
| - | - |
| `CIT` | Customer-initiated — the cardholder was present in the flow and acted |
| `MIT` | Merchant-initiated — you charged a stored credential without the cardholder acting, as with a subscription renewal |

Use it when you want to separate checkout traffic from recurring charges: renewals are `MIT`, a
first payment or a one-off is `CIT`. The filter only makes sense for card payments; non-card methods
have no value for it. The same distinction appears as a column — see
[Transaction & Refund Field Reference](/docs/en/support/transaction-field-reference-faq).

## A colleague has a filter I do not have. Can I turn it on?

No. Some filters are released per account and only appear when they are enabled for yours; others
only exist when the underlying data does, such as the sub-merchant filter on accounts that have no
sub-merchants. Neither is something you or your administrator can switch on from the Portal — ask
your Waffo contact whether the filter applies to your account. The four general reasons an element
is missing are listed in
[Missing Columns, Filters & Views](/docs/en/support/portal-conditional-screens-faq).

Screenshots in documentation and demonstrations are taken on accounts with a different feature set,
so a filter in a screenshot is not evidence that your account should have it.

## How far back does each list look, and how wide a range can I pick?

Two separate things: the **default window** the screen opens with, and whether the picker **refuses**
a wider selection.

| Screen | Opens with | Picker limit |
| - | - | - |
| Payments | Last 7 days | One month — once you pick one end, dates 31 days or more away are greyed out |
| Refunds | Last 90 days | No limit on the picker; export is limited (below) |
| Chargebacks | Last 30 days | No limit on the picker |
| Customer disputes | Last 90 days | No limit on the picker |
| Chargeback alerts | Last 30 days | No limit on the picker |
| Subscription agreements | Last 60 days (`Created Datetime`) | Two months, and future dates are blocked |
| Payout — single | Last 30 days | One month |
| Payout — batch | Last 30 days | One month |
| Payout reports | Last 30 days | Future dates blocked |
| Settlement transactions, batches, estimation, report downloads | Last 30 days | See [settlement report spans](/docs/en/support/settlement-reports-export-faq) |
| Balance history, payout wallet history, reserve history | Last 30 days | See [Balance History](/docs/en/support/settlement-batch-and-calendar-faq) |
| Webhook records | Last 7 days | — |
| Login history | Fixed to the last 90 days, no picker | — |

The one-month picker limit works from whichever end you click first: after the first date, anything
31 days or more away from it is unselectable. So it caps the **width** of the window, not how far
back you may go — you can look at any month in the past, just one month at a time.

## I need six months of transactions. What do I do?

Not through the list filter — the payment list is capped at a one-month window, and transaction and
refund **exports are refused before a task is created** if the selected range is wider than 31 days
(the Portal says the time frame should not exceed one month). Your options:

| You need | Use |
| - | - |
| A long period of transaction-level detail | Run one export per month and combine them — twelve tasks for a year |
| Recurring delivery without clicking each time | A scheduled report subscription — see [Report Delivery & Subscriptions](/docs/en/support/report-delivery-and-subscription-faq) |
| Settlement-level rather than transaction-level history | The settlement report exports, which have their own spans — see [Settlement Report Exports](/docs/en/support/settlement-reports-export-faq) |

Each export becomes a task with its own status and download link; those mechanics, including what
`Retry Needed` and a non-zero failure count mean, are in [Export Centre](/docs/en/support/export-center-faq).

## How do I find every subscription agreement that is still live?

Filter on `Status`. The agreement list exposes the full status set, and "still live" is not one
value:

| Status | Reading |
| - | - |
| `IN_PROGRESS` | Being set up |
| `AUTHORIZATION_REQUIRED` | Waiting for the customer to authorise |
| `ACTIVE` | Live and billing |
| `EXPIRED` | Ran to its end |
| `CLOSE` | Closed |
| `MERCHANT_CANCELLED` | Cancelled by you |
| `USER_CANCELLED` | Cancelled by the customer |
| `PLATFORM_CANCELLED` | Cancelled on the Waffo side |
| `CHANNEL_CANCELLED` | Cancelled at the payment method's end |

Note the date filter is on **creation** time and defaults to the last two months, so an agreement
created last year is `ACTIVE` but outside the default window — widen the date range before
concluding it is gone. For what you can do to an agreement from the Portal, see
[Subscriptions in the Portal](/docs/en/support/subscription-cross-currency-and-portal-faq).

## Where does a payout I submitted in a batch show up?

The payout history screen has two tabs and they are keyed differently:

| Tab | Keyed by | Filters |
| - | - | - |
| Single | The individual payout order | `Payout Order Id` or `Payout Request Id`, payment method type, payment method, status, created date |
| Batch | The batch | `Payout Batch Id` or `Batch Name`, status, created date |

So if you have the payout order ID or your own payout request ID, search the Single tab. If you only
know which batch you submitted, open the Batch tab, find the batch, and open it — a batch's detail
lists its member payouts, searchable by payout order ID or recipient account within that batch; the
recipient account is a column there, not a search field on the Single tab. Payout statuses themselves
are covered in [Payouts](/docs/en/support/payout-faq).

## Why is the file name on the payout report list not clickable?

Because the download action on that screen is a separate permission from viewing the list. Where
your user can see the report list but not download from it, the `Report` cell renders as **plain
text instead of a button** — nothing is broken and the file is not missing. An administrator on your
account has to grant the download capability, or a colleague who has it downloads for you. Roles and
who can change them are in [Merchant Portal Operations](/docs/en/support/portal-operations-faq).

The list itself shows the period covered, the number of orders in it, and when it was generated, so
you can confirm the report exists before chasing the download.

## Which settlement screen should I reconcile against?

They answer different questions, and only one of them is the settled record:

| Screen | What it is |
| - | - |
| Settlement transactions | Transactions awaiting settlement — a forward view, not a settled figure |
| Settlement history / records | The settlement records themselves — this is what you reconcile against |
| Settlement batches | Records grouped as they were paid out |
| Settlement estimation | A projection, superseded by the report exports |
| Settlement calendar | Which dates are settlement days |

The identifiers, statuses, timeline and amount definitions of a settlement record are in
[Settlement Batches & Calendar](/docs/en/support/settlement-batch-and-calendar-faq), and the export
choices in [Settlement Report Exports](/docs/en/support/settlement-reports-export-faq) — including which
screen replaces the estimation view.

## This button is greyed out. Is it my permission or the record's state?

Both mechanisms exist, and you can tell them apart by whether the button is **absent** or **present
but disabled**:

| Symptom | Cause | What to do |
| - | - | - |
| The action is not on the screen at all | Your role does not carry it — permission-gated controls are not rendered | Ask an administrator on your account |
| The action is visible but disabled | The record's own state does not allow it | Check the record's status; a completed or already-actioned record cannot be actioned again |
| A file name shows as text where you expected a link | Download is a separate permission from viewing | See the payout report answer above |

Concrete examples of the state-driven kind: the refund action on a payment that is not in a
refundable state (see
[Transaction & Refund Field Reference](/docs/en/support/transaction-field-reference-faq)), resend on a
webhook record that is not eligible (see [Webhook Records](/docs/en/support/portal-webhook-log-faq)), and
withdrawal when the balance conditions are not met (see
[Withdrawal Exceptions & Status](/docs/en/support/withdrawal-exceptions-and-status-faq)). Pause, resume
and terminate on an automatic withdrawal agreement are state-driven in the same way — see
[Automatic Withdrawal](/docs/en/support/auto-withdrawal-and-withdrawal-integration-faq).

## Where is the API documentation link in the Portal?

Top right, next to the FAQ entry, when it is enabled for your account. It opens the public developer
documentation in a new tab and follows your Portal interface language. If it is not there, the
documentation is public anyway — start at
[Getting started](/docs/en/developer-docs/getting-started/overview). Nothing in the Portal is required to
read it.
