# Withdrawal & Batch Payout FAQ

> Answers to the most common questions about withdrawing settlement funds and sending batch payouts from the Waffo Merchant Portal: fees, statuses, statements, beneficiary accounts, batch validation and automatic withdrawals.

## What is the difference between a payout and a withdrawal?

| | Payout | Withdrawal |
| - | - | - |
| Money goes to | Third parties (users, creators, suppliers) | Your own company bank account registered during KYB / in your agreement |
| Debited from | Your settlement account in the payout's paying currency | Your settlement account in the withdrawal currency |
| Pricing, currencies, limits | Defined by your payout agreement | Defined by your withdrawal agreement |

## Why is the Withdraw button disabled?

Withdrawal is available only when the settlement account balance meets the
minimum withdrawal amount for the initiating currency. Amount limits apply per
initiating currency — contact your account manager for the exact limits.

## How is the withdrawal fee charged?

The fee and the resulting remitted amount are both shown on the application page
before you confirm — **read them there rather than computing them yourself**, because
the fee basis and whether it is deducted from the withdrawal or charged on top are
both set per agreement. Intermediary-bank charges along the remittance route are
borne by Waffo, so the remitted amount arrives in full.

## Can I change the bank account my withdrawals go to?

No — not in the Portal. The beneficiary account comes from your KYB /
agreement configuration and is read-only. Account numbers are masked to the last four digits.
**Settings > Bank Accounts** lists the configured accounts for each
currency. To change an account, contact Waffo.

## What do the withdrawal statuses mean, and why is the arrival amount sometimes empty?

| Status | Meaning |
| - | - |
| Not Submitted | Created but not yet submitted. |
| Under Review | Submitted and under review by Waffo. |
| Rejected | Review rejected — the remark includes the reason. |
| Approved / Processing | Approved and being processed by the remittance channel. |
| Result Submitted | The channel has reported a result that is being finalised. |
| Success | Completed — the arrival amount (in the target currency) and the bank serial number are backfilled; until then those fields are empty. |
| Failed | The withdrawal was not completed. |
| Closed | The withdrawal was closed without completing. |
| Bank Return / Bank Return Confirmed | The receiving bank returned the funds. Contact support to arrange a new withdrawal. |

The merchant API reports a simplified set of statuses — in progress, success,
failure and a bank-return state — while the Portal shows the detailed list
above.

Withdrawal history shows the most recent 90 days by default, newest first.

## What is the statement I confirm when withdrawing? Can I download it later?

Confirming a withdrawal generates a **statement** (payment request document)
with the amount, fee, resulting amount and beneficiary account, and records
your confirmation. You can export it as a PDF any time from **Withdrawal
History**. It is computer-generated — no signature or stamp is required.

## For a cross-currency withdrawal, when will I know the rate and received amount?

Not at application time: the application and confirmation pages show no
expected received amount. The rate and received amount are backfilled onto
the withdrawal record and statement once the channel result returns. Limits
apply to the withdrawal currency; the fee is charged in the target currency.

## Can Waffo withdraw my settlement balance automatically?

Yes, but it is not something you switch on yourself. Ask your account manager to
set up an **automatic withdrawal** contract on your settlement account; once one
exists, an Auto Withdrawal tab appears in the Portal and you can **pause, resume
and terminate** it from there — see
[Automatic Withdrawal](/docs/en/support/auto-withdrawal-and-withdrawal-integration-faq)
for the trigger rules and statuses.

A contract triggers on the balance reaching an agreed threshold. If the balance is
below the threshold when the contract is due, that run is **skipped and not made up
later** — the next run is the next scheduled one. If the beneficiary account has
become invalid, no withdrawal is initiated and the contract is flagged.

## How do I send payouts in bulk through the Portal?

1. Download the batch template for the destination country.
2. Fill it in and upload the file; the system validates it asynchronously.
3. Name the batch and create it.
4. Preview — available settlement balance, total payout, recipient and fee amounts.
5. Submit. The batch then processes until **Completed**.

Templates are only listed for countries covered by your signed payout
agreements. The recipient type currently supports **Individual** only, and
rows using the bank-account method must include the payee's bank code.

## Why was my whole batch rejected when only one row had an error?

Validation is all-or-nothing: every row must pass, and all rows must share
the same paying currency, recipient currency and country. Any failing row
cancels the whole batch — partial submission is not supported — so fix the
file and upload it again.

## When is my balance deducted, and how do I track results?

The full batch amount, **including fees**, is deducted from your settlement
account at submission, after a confirmation step in the Portal; insufficient
balance rejects the submission. The batch then passes an internal review
before channel processing, so it stays **In Progress** for a while.
A batch shows only **In Progress** or **Completed**; items show **In
Progress**, **Success** or **Failed**, each with a status timeline. Failed
item amounts are returned to your settlement account (whether their fee is
refunded depends on your payout agreement). To reconcile, download the
**source**, **checked** and **result** batch files from the batch record.
