Settlement File Specification is the column-by-column contract for the three report files. Settlement Reports & Exports covers how to pull a report on demand. This page answers the question one step before those: for a given piece of data — a card network reference, your customer’s country, the settlement amount in your settlement currency — does it exist at all, and if so through which channel. Read it before asking support to add a column: several of the most-requested fields are not “unavailable in the export”, they are not held in a merchant-visible form anywhere.

What are my three ways of getting settlement data?

There is no API that returns a reconciliation report or a settlement batch. Settlement-level data reaches you as files (Portal download or SFTP delivery), never as an API response. If your finance system needs settlement data programmatically, the integration point is the file, not an endpoint.

Is there an API I can use to receive my money-movement records?

Yes, for balance and account movements — not for settlement reports. Five merchant endpoints exist: See Withdrawal & Balance API for the request and response contracts and the query-window limits. So the practical split is: account movements → API; settlement composition → file.

Can I get the RRN (Retrieval Reference Number, field 37) in my settlement file?

No. There is no RRN column in any of the three reconciliation reports, and none in the Portal transaction export. For card transactions the merchant-visible references are: payMethodResponse is a JSON string on the order inquiry response, and the object returned to you carries a fixed set of keys — payment-method reference, scheme transaction id, token id, masked card data, card metadata, the amount and currency your customer actually paid, and the rate the payment method used. A network retrieval reference is not one of them, so it cannot be reached by parsing that field either. If you are trying to trace a specific transaction with a bank or an issuer, open a support case with the Order Id and the payment date; that is the identifier Waffo can trace end to end.

Can you add a column to my report — my own refund id, my customer’s country, an extra reference?

The exported column set is fixed per report type. It is the same for every merchant, and it is not extended per account. What you can control is: See Report Delivery & Email Subscription. Some fields you may be looking for are already present under a different name — check Settlement File Specification before requesting anything:
  • your own reference on a payment is Merchant Order Id, and on a refund Merchant Original Order Id identifies the payment you refunded
  • the payment a refund or chargeback belongs to is Original Order Id
  • your own user identifier, if you sent one on order create, is Merchant User Id

How do I report by my customer’s country? The reports only show currency.

There is no consumer-country column. The country dimension that exists is the country of the payment method, not the location of the person paying: Two consequences worth being explicit about:
  • Grouping the transaction export by Pay Method Country/Region gives you revenue by payment-method market, which is the closest available proxy and is what most merchants end up using. It is not the same as your customer’s residence — a customer can be anywhere and use a method registered in one market.
  • For card volume specifically, cardIssueCountryCode on order inquiry is a per-transaction issuer country. It is available through the API only, not as a report column, so building an issuer-country breakdown means enriching your own records at payment time rather than after the fact.
Portal analytics also breaks volume down by country for the payment-method dimension — see Portal Analytics — so for a quick answer you may not need an export at all.

My order is in a non-USD currency. Where is the settlement-currency amount?

Not in the transaction export — that file has no settlement columns at all, because a transaction is exported the day after it happens and its settlement may not exist yet. The conversion itself, including which pair and which rounding rule applies, is in Settlement Calculation Explained.

Is there an API that gives me the settlement amount in my settlement currency?

No. This is the single most-asked variant of the previous question, and the answer is the file: Order Amount (Settlement Currency) in Settlement Details, keyed by Order Id, is the row you join to your own ledger. If you need this as a feed rather than a download, configure delivery to your own SFTP so the file is pushed to you and your job picks it up — see Report Delivery & Email Subscription.

Can I see my funds broken down per channel instead of one account balance?

No. Your money is presented to you as accounts, not as channel positions: There is no per-channel funds screen in the Merchant Portal and no per-channel breakdown in the balance API. If you cannot find it, it is not a permission problem — the dimension does not exist on the merchant side. See Balance & Account History for what each balance means and Settlement Account Structure for why one currency can show more than one account.

Three exports of the same month disagree. Which one is authoritative?

They disagree because they answer three different questions. None of them is wrong: For “what did I get paid”, the settlement report is authoritative — it is the same data the money movement was built from. For “what did I sell”, the transaction list is authoritative. The classic mismatch has one cause: a transaction that happened in the last days of a month settles in the next month, so it is in one month’s transaction export and the next month’s settlement report. See Should I export by Payment Date or by Settlement Date? and Settlement Cycle.

Why can’t I find an order from last month’s settlement report in my transaction list for that month?

Because you filtered the transaction list on a payment date in that month, and the order’s payment date is in the previous one. A settlement report covering a settlement date in November routinely contains transactions paid in October. To find it: search the transaction list by Order Id with no date filter, rather than narrowing by month.

Does filtering the transaction list on “payment successful” give me my revenue for the month?

No, for three reasons, in order of how often they bite:
  1. It is gross, not net. Fees, taxes and reserve holds are applied in settlement, not on the transaction. See Settlement Calculation Explained.
  2. Refunds and chargebacks are separate rows with their own dates. A payment succeeded in the month and was refunded in the month both count once each.
  3. Successful is not settled. Some of those transactions have not entered a settlement batch yet.
For a revenue figure, start from the settlement reports. For an accrual figure, the settlement estimation export gives you the not-yet-settled part with Est columns marked as estimates.

What does the Settlement Status column mean, and do UNSETTLED orders count as this month’s revenue?

Settlement Status on a settlement report export tells you whether the transaction has entered a settlement batch: Whether an UNSETTLED transaction belongs in this month’s revenue is an accounting-policy question, not a Waffo one: on a cash basis it does not, on an accrual basis it does and the estimate columns are what you would accrue against. Waffo does not restate the month once those rows settle — they simply appear as SETTLED in a later report. More on the column and the export filter in Settlement Reports & Exports.

What is the difference between Settlements → Transaction and the Transactions page?

They look similar and answer different questions: A transaction appears on Transactions immediately and on Settlements → Transaction only once settlement has processed it. A transaction that was billed but carried no order amount — a failed transaction that still incurred a fee — appears on the settlement side and looks odd on the transaction side; that case is covered in Failed Transaction Billing.

Where do I download settlement batch details now?

Portal → Settlements → Reports. Batch-level detail, Customized Export and the settlement estimation export are all background tasks: you request one, it is built, and it appears in the export history on the same screen as a downloadable file — it does not stream to your browser. If the only export type you can produce is a narrow one, the export types available to you depend on your account’s report configuration. The full list of types and their date-span ceilings is in Settlement Reports & Exports; task statuses and download link lifetimes are in Export Center.

Which identifier ties a report row to the money that arrived in my bank?

Depends which end you start from: One settlement date can produce more than one batch — see Settlement Batch & Calendar.

Can I issue an invoice to my own customer from the Portal?

No. The two documents Waffo produces have fixed directions: So the Invoice in your Portal is Waffo’s invoice to you for fees. It is not a document you can pass to your customer, and there is no feature that issues a merchant invoice to an end customer. The customer-facing document is the transaction Receipt — content, configuration and delivery are in Receipt Configuration & Download and Portal Receipts. Invoice numbering, why several attachments arrive at once, and what is excluded from the Invoice are in Settlement File Specification.

Can I get an invoice for a transaction that is refunded, or not yet settled?

The Invoice covers fees on settled transactions, and its date is derived from the latest actual settlement date in the set it covers. A transaction that has not settled has not contributed a fee to any invoice yet, so it is not on one. It appears on the invoice covering the period in which its settlement lands.
